Travel Coordinator

JOB DESCRIPTION

Job Summary: Under general direction, is responsible to oversee all travel related activities to ensure

accordance with University policies and procedures; supervises and/or performs all duties of the office

to account for all travel related expenditures.

CHARACTERISTIC JOB TASKS AND RESPONSIBILITIES
May include any and/or all of the following:

Trains, supervises, and evaluates support staff; ensures receipt and deposit of funds returned

by travelers; ensures timely reimbursement; verifies vendor payments to approved travel agencies

prior to processing.
Develops status logs and reports; maintains PC files, form letters, and documents; develops and recommends enhancements to office procedures, and customer service. Follows Data protection act and privacy rules.
Coordinates with other departments and travel agencies in responding to inquiries regarding travel issues

and concerns; maintains stock of preprinted travel forms; maintains open and cleared travel documents

in accordance with document retention policies.
Receives and reviews expense reimbursement vouchers related to foreign travel; verifies appropriate

documentation in compliance with University policy; ensures accuracy of vouchers in accounting for

traveler advances or prepaid expenses; prepares journal entries and/or deposit of funds form to

clear expense report.


Reviews and approves travel expenditures after initial processing of travel related documents;

prepares correspondence regardingto travel related issues for the supervisor's review and approval.
Completes monthly reconciliation of travel clearing account; ensures learing of open encumbrances;

monitors travel expense report due dates in accordance with University policies/procedures;

performs follow-up procedures to ensures timely receipt by the office; initiates payroll withholding

of past/due advances after proper notification. Performs other duties as assigned.
